16.4 Community Life Fund: Proposal: M. Tarpley

Proposal: $350 for a friendsgiving event off campus

Discussion:

-          Outcomes

  • It is more of a potluck meal, how will students be reimbursed?

-          Decisions

  • Hard to reimburse so many people, hard to itemize
    • Host would collect all the receipts and would get reimbursement for each person
  • Pass money for drinks or something the hosts can buy
  • Great event

-          Actions

  • They can figure out and handle receipts on their own, doubt they will need the entire reimbursement
  • This will still go through the Campus Reps

16.5 Academic Pursuit Fund: Proposal: M. Tarpley

Proposal: $230 for one student to attend a five day “ TRUE leadership retreat” in Salem, OR.

Discussion:

-          Outcomes

  • They are volunteering at the event

-          Decisions

  • One other student wants to go, so we can amend higher
  • Justifies as fundraising for this event

-          Actions

  • Amend to $540 so two students can go to this event

Proposal: $1071 for a four day conference “Onething” in Kansas City, MO.

Discussion:

-          Outcomes

  • He is staying for six nights for his flight is cheaper that way
  • $10/day for food is cheap

  • Amend to $607 to bring flight to $200 and hotel to $250 to follow APF guidelines

16.7 Business Department: Event Proposal: M. Tarpley

Proposal: $3,435 for a Business Christmas Party

Discussion:

-          Outcomes

  • All business students and plus-one’s
  • Up to 800 students

-          Decisions

  • Secret budget under decorations
    • Idea is secret because of business department, but is discussed budget is $1000 for “toys”
    • Not necessarily ASC’s responsibility
  • Business department can get funding if the dean talked to R. Baker or higher departments
    • Writing letter to business department saying they should work it into their budget and ASC won’t be funding this in the future
    • Business department could match what ASC pays for
    • Like the matching idea, shows there is interest on both parties
      • If they don’t match, should we approve less or more? What’s our plan if they don’t match?
      • ASC shouldn’t be paying for one department long term
  • What fund will this come from?

  • We are advocating for students, because we think this event is a good thing
    • But it’s not our job to fund full things for academic departments

    • Not a conference
    • Helps individuals pursue their academics
    • But if we used APF, it can show clearly why we’re funding this event and it’s purpose
    • Contingency fund
      • $8,000
      • Unforeseen cost
      • We can always replenish this fund
      • Would be best; if there are issues we can always move it
      • Student Organizations
        • If this class becomes a club, it could come from their budget

16.8 Student Organizations: New Student Organizations Proposal: M. Tarpley

Proposal: $750 for new student organization Fencing Club

Discussion:

  • Where would we need to be storing the fencing equipment during the off-season?
    • We can use the Student Life garage
    • Office Manager can handle

  • Figure out equipment storage at a later time

  • $600 for club sweatshirts

-          Decisions

  • Maybe we can cover like a certain amount for the sweatshirts
  • Conference Entrances should be applied through Academic Pursuit Fund

  • Remove Confernce fees

16.12: Academic Pursuit Fund: Proposal: M. Tarpley

Proposal: $3800 for 10 students to go to a three day “Youth Worker Connection” conference in CO.

Discussions:

-          Outcome

  • Covers Ticket and Conference Cost
  • ASC is the only department not helping funding this
  • Students that are studying Christian Ministries/Biblical Studies or work with youth groups in the area
  • Students who want to be involved, RA next year, student leader
  • M. Dyment is speaking at this conference
    • Trust his judgement
    • He will cover most costs and will only need to reimburse him

-          Decisions

  • Like this idea of building up student leaders
  • We need to amend down the car travel, and the flight costs
  • However, we can amend the food costs up to the guidelines

-          Actions

  • Pass the entire amount, but M. Tarpley will tell them how the money will be allocated differently

  • Starting elections with RA process happens
    • February
    • Central and subcommittees will be hired before summer

-          ASGA Membership/ Conference

  • Team can use next year
  • Meet with VP’s in the spring to connect with them, early team= early action
  • Move forward with membership
    • $297/year
    • Come out of presidential training budget

-          Survey Monkey

-          Thanksgiving Meal

  • Have a Rep/Central Committee meal
  • We’re having an all ASC Christmas party

-          Student Organizations Director for Spring Semester 2015

  • Is it okay to appoint this position?
    • Constitutionally it is okay

-          Assistant VP Finance

  • 2 assistants?
  • Help create a 3-5 year financial plan
  • Integrate club treasurers & presidents
