POSITION OVERVIEW: Provides executive administrative support to the dean and faculty of the seminary, and assist students and visitors to the seminary.

PRIMARY RESPONSIBILITIES:
  • Executes the financial responsibilities of the seminary, including check requests, expense reimbursements, processing adjunct contracts and student timesheets, tracking and reporting scholarships, reconciling the dean's Visa, and managing petty cash. Works closely with Masters Program Director, Academic Affairs and Human Resources.
  • Manages the Seminary and College of Christian Studies adjunct faculty hiring and contract process, oversees student employee hiring and monthly timesheets, tracks and processes other temporary or special employee processes, as needed.
  • Coordinates and executes seminary events: Board of Regents meetings, monthly faculty and team meetings, team retreats, hooding and commencement, team celebrations, and special events.
  • Manages cyclical and special projects, including all Association of Theological Schools reports and accreditation processes, course evaluation system, seminary candidacy and first-semester assessment program, and course scheduling.
  • Clerical and reception duties include assisting with the dean’s calendar, making travel arrangements, taking minutes during meetings, maintaining office supplies, requesting equipment maintenance, welcoming and assisting guests and students, supporting the class scheduling process, maintaining seminary calendar, and process mail.
  • Communicates effectively and courteously with others, including employees, students and the public, in a spirit of teamwork, respect, and exemplary customer service.
  • By actions, words, and lifestyle, is a Christian role model to students, whether through casual contact or in a formal supervisory role.
ASSOCIATED RESPONSIBILITIES: Participates on the Masters Programs team for new student orientations and Symposium events.
QUALIFICATIONS/REQUIREMENTS:
  • Five years of administrative support/office experience in a fast-paced environment, with detail orientation, a demonstrable grasp of budget management, including purchasing, petty cash, payables, receivables; event planning, extensive customer service, and a penchant for creating and maintaining accurate systems.
  • Bachelor's degree in business, accounting or systems preferred or a proven record of success in a high production, fast paced environment.
  • Demonstrated computer proficiency (Mac or PC), including MS Office Suite.
  • Superior customer service skills.
  • The highest level of initiative, dependability and the ability to work independently.
  • Superior organizational skills and attention to detail while working in an environment with frequent interruptions and a diverse, heavy workflow.
  • A proven track record of discretion and integrity in handling confidential information.
  • A deep understanding of, and appreciation for, the higher education work setting is greatly desired.

STARTING SALARY: $34,420 to $40,447; depending on experience.
