Instructional Media ServicesInstructional Media Services provides consistent and customer friendly assistance with and access to audio, video, and computer equipment and services. All requests are made through Institutional Technology's Service Desk. Procedures to Reserve Equipment Request. Your reservation will be entered into our system and a request ID number will be issued to you. Delivery and pickup. The equipment will be delivered and configured in time for the start of your class or event and retrieved at the end of your class or event. Feedback. We ask that you provide us feedback regarding your equipment reservation and set-up. Policies Equipment reservations are made on a first come first served basis to faculty and staff for classes and University sponsored/sanctioned meetings and events. Student organizations may reserve equipment through their faculty/staff sponsor. Students may reserve equipment for academic use through their instructor or academic department. Non-university events occurring on campus may request equipment through the event services department and will be charged a service and rental fee. Instructional Media Services is not able to process equipment requests made less than 60 minutes prior to delivery time. Usability. When reserving equipment, customers must certify their ability to operate the equipment or set up an appointment with IMS personnel before the delivery date to learn its operation. When connecting non-IMS equipment (such as laptops) to IMS equipment, customers are encouraged to visit IMS prior to the delivery date to test their equipment. When using instructional technologies it is always advisable to have a backup plan in the event of equipment failure. Responsibility. The customer assumes responsibility for care and security of equipment during the time it is reserved. Lost equipment and parts will be billed at replacement cost. Broken equipment will be repaired and billed at labor plus replacement parts costs. Removal of Equipment. If equipment is removed from the area to which it was delivered and IMS is not notified immediately of the change, there will be a $25 recovery fee charged for locating each piece of moved equipment. The full daily rental fee will be charged for each additional day the equipment is not recovered. Equipment and parts not recovered within five working days will be considered unrecoverable and the customer will be billed for replacement costs. Delivery and return. Customers who choose to pick-up equipment may do so at the Institutional Technology Service Desk on the third floor of the Stevens Center in Newberg. Return equipment promptly when finished to the same location unless arrangements for delivery and retrieval by Instructional Media Services staff have been confirmed. Equipment should be returned in good condition. Equipment returned late (more than 15 minutes after return time indicated on the equipment request) or missing parts will result in $25 recovery fee. IMS will notify the customer via email when charges are made to an account. Equipment: Fees include delivery, set-up, and retrieval by Instructional Media Services. Please indicate if you require an equipment operator for the duration of your event. Equipment fees are waved for George Fox University classes and events.
