Conversion Teams

As with all large projects, it takes a team of individuals to execute the details. The E-mail Conversion Team is made up of 24 individuals, relying heavily on IT with a few members of other departments. Members of the team interact and support many users and have familiarity with user functionality needs. Even so, team members have been developing a requirements document based on input they receive from users.

There are four teams each focused on a specific area. 

Technical Team

Jared Ocker (Lead), Andy Baker, Jason Schwanz, Ryan Backman, Sean McKay, Brian McLaughlin
The primary responsibility of this team is to manage the technical aspects of the transition, including data conversion, e-mail routing, secure authentication and integration with external systems.

Functional Team

Brad Weldon (Lead), Bruce Arnold, Mike Campadore, Rich Bass, Ryan Tafflinger, Sarah King
This group will be reviewing functional requirements and answering the question, “Will I be able to (fill in the blank) in the new system.” There is a long list of e-mail, calendaring, contact and task functionality for which they will provide information.

Documentation Team

Kandie Comfort (Lead), Bruce Arnold, Janelle Baugh, Josh Nauman, Ryan Tafflinger, Sheila Abercrombie
Sometimes the hardest thing to do is “document” how to do things. This team will provide documentation on how to use the new e-mail system using either the Web version or a supported local e-mail client such as Outlook. In addition, they will provide information on how to take advantage of some of the advanced features of the system. The goal is to provide timely release of documentation and training for the users. 

Communications Team

Gloria Doherty (Lead), Piper Parks, Peter Crackenberg, Darla Norgren
The primary responsibility of this team is to create and execute a communication plan that will keep the different constituent groups informed of the conversion and its impact. They will use a variety of media but most significant will be the E-mail Conversion website which will be updated weekly with new information. The goal of this team is to assure that our community receives notifications about the conversion and is given open access to documentation.

The Project Advisory Team

Consists of the four team leads, plus Greg Smith and Jim Fleming
This group guides the teams as they meet weekly to execute tasks, identify risks and resolve issues of the transition.

The teams are working to ensure all the core functionality is available to users when we migrate to the new e-mail/calendaring system.
