Scheduling Exams with DAS
Exam Requests
- DAS-proctored exam requests must be submitted through the DAS AIM system following DAS scheduling parameters, and aligned with the course-identified dates/times.
- Students should schedule exam times so they overlap with class exam time. Exceptions should be arranged if a student has an unavoidable conflict before or after class (i.e., has classes before AND after the class in question).
- If the student needs to take the exam at a different time within the same day, the student must coordinate with their instructor.
- If the student needs to take the exam on a different day, the student must coordinate with the instructor, and the DAS office must receive an email from the instructor confirming permission. Exam requests on a different day will not be accepted until permission from the professor is granted.
- If there are scheduling issues, students should contact DAS as soon as possible at das@georgefox.edu.
- Students are encouraged to request all exams and quizzes for the semester as soon as possible. Requests must be 5 business days in advance for exams and quizzes, and 10 business days in advance for finals.
- Requests for specific testing spaces or specific circumstances will be taken into consideration, but not guaranteed.
- If the student does not request their exam through AIM, DAS is not responsible for the proctoring or management of the exam.
Students can access the AIM Scheduling Exams document for guidance.
Late Exam Requests
- Students may submit late requests within the AIM system.
- Any request made within 1-4 business days prior to the exam will be approved based on testing space and staff availability.
- The DAS office cannot accommodate same-day exam requests. Exams that are scheduled after 4 PM for the following day are considered same day requests, and will not be accommodated (including exams scheduled after 4 PM on Friday for a Monday exam).
- If the student does not receive a testing confirmation email from DAS for their late request, they should plan to take the exam with the rest of the class.
Final Exam Requests
- Requests for finals must be made at least 10 business days in advance.
- Any late requests will be approved based on testing space and staff availability.
- The DAS office cannot accommodate exam requests made after the Friday before finals week.
- Due to the nature of finals week, the DAS office can only proctor final exams – any instructor-approved make-up exams must be conducted prior to finals week, or arranged to be proctored by the professor.
- Students can schedule final exams only on Tuesday - Thursday at 8 AM, 11 AM, 1 PM, or 3 PM, and Friday at 8 AM, 11 AM, or 1 PM. Students should schedule the exam during, or as close to the scheduled exam time as possible.
Illness or other Extenuating Circumstances
If a student is ill or is experiencing extenuating circumstances and needs to reschedule their exam, they must receive permission from the instructor, and the instructor must email our office confirming the permission.
Integrity in Testing Agreement
The DAS office adheres to GFU’s Academic Honesty Policy. The DAS office has the right to stop the exam when a violation occurs. All violations will be reported to the instructor.
To ensure clarity of student expectations and testing center guidelines, students are responsible for completing the integrity in testing agreement on AIM every semester. The agreement states:
“Academic integrity and honesty are central components of a student’s education, and the ethical conduct maintained in an academic context eventually will be taken into a student’s professional career.
Students agree not to speak with anyone else about the contents of this exam until both the student and classmates have completed the exam.
Students agree to maintain confidentiality of services by not speaking about any other students they may encounter seeking accommodations or services at the Disability & Accessibility Services Office.
Students acknowledge that any student observed using any unauthorized materials or resources during an exam will be reported to the instructor. The Disability & Accessibility Services staff has the right to stop any exam at any time if academic dishonesty is witnessed. Academic misconduct is subject to an academic penalty and/or a discipline sanction as noted in George Fox University’s academic catalog.
Disability & Accessibility Services regularly trains its staff and student employees and emphasizes the importance of test security to ensure academic integrity, as well as confidentiality.
With my electronic signature, I agree to the terms noted on this document.”
